Effective Date: June 25, 2026. A comprehensive framework outlining our global cancellation policies, refund processing timelines, and financial guarantees.
Stay Realm operates as a global marketplace facilitating reservations between travelers and independent property providers. Because each property sets its own specific rate rules, we do not enforce a singular, universal cancellation policy across all bookings.
Instead, the precise cancellation terms are intrinsically tied to the specific room rate you select during checkout. These terms are explicitly displayed prior to payment confirmation. By finalizing a reservation, you legally consent to the specific cancellation restrictions enforced by that property.
Bookings designated as "Fully Refundable" permit cancellations without penalty up until a specific deadline established by the property (e.g., 24, 48, or 72 hours prior to the standard check-in time).
If you cancel a Fully Refundable reservation before this strictly enforced deadline, Stay Realm will automatically initiate a 100% refund of the total amount charged to your original payment method. If you attempt to cancel a Fully Refundable reservation *after* the deadline has passed, the property reserves the right to charge a late-cancellation penalty, which typically equates to the cost of the first night's stay plus applicable taxes.
To offer the most competitive pricing on the market, many properties provide heavily discounted "Non-Refundable" rates. As the nomenclature suggests, these bookings are strictly final at the moment of transaction.
If you book a Non-Refundable rate, you are explicitly waiving your right to cancel or modify the reservation in exchange for a lower nightly rate. Under no circumstances—barring specific statutory rights in localized jurisdictions—will Stay Realm or the property provider issue a refund for a Non-Refundable booking, even in the event of personal emergencies, transportation delays, or changes of itinerary. We strongly recommend purchasing comprehensive travel insurance to cover these eventualities.
When a valid refund is triggered within our system, Stay Realm releases the funds back to our payment gateways (Stripe/Adyen) immediately. We do not hold your capital.
However, the actual time it takes for the funds to reflect on your statement is dictated entirely by your financial institution's internal clearing protocols. Typically, major credit cards (Visa, Mastercard, Amex) process refunds within 3 to 7 business days. Debit cards or international cross-border transactions may take up to 14 business days. We cannot expedite the clearing processes of third-party banking institutions.
We demand rigorous inventory accuracy from our property partners. Host cancellations are considered severe operational failures. However, in the exceptionally rare event that a property cancels your confirmed reservation due to unforeseen maintenance failures or systemic overbooking, you are entirely protected.
Upon notification of a host cancellation, our Global Concierge team will immediately intervene. You will be given two options: (A) We will rebook you into an equivalent or superior property in the immediate vicinity, absorbing any difference in cost entirely on our end. (B) You may opt for an immediate, full refund of all monies paid, accompanied by a credit voucher for future travel as compensation for the disruption.
In the event of a recognized "Force Majeure" occurrence—defined as an extraordinary event or circumstance beyond human control, including but not limited to acts of war, global pandemics, catastrophic natural disasters (hurricanes, earthquakes), or government-mandated border closures—standard cancellation policies may be temporarily superseded by our Extenuating Circumstances Protocol.
During a declared Force Majeure event, Stay Realm will work directly with property partners to secure refunds or travel credits for affected guests, overriding Non-Refundable clauses where legally or morally appropriate. The activation of this protocol is at the sole discretion of Stay Realm's legal and operational executive teams.
If you decide to check out of your accommodation prior to your scheduled departure date, any refund for the unused nights is governed exclusively by the property's management. Stay Realm cannot force a property to issue a partial refund for an early departure unless the departure was necessitated by severe, documented safety or sanitation violations at the property.
A "No-Show" occurs when a guest fails to arrive at the property on the scheduled check-in date without prior notification. In the event of a No-Show, the property reserves the right to cancel the remainder of the reservation and retain 100% of the booking total as a penalty.
If you anticipate a significant delay in your arrival (e.g., a delayed red-eye flight), you must communicate this directly to the property or to the Stay Realm Concierge to ensure your room is not released to a walk-in guest.
If you believe a refund has been unjustly denied, or if a property has failed to honor its stated cancellation policy, you may escalate the matter to our central resolution team. We require all disputes to be filed within 14 days of the original check-in date.
